Job Position: Administrative Assistant

Job Location: Lagos

Job Responsibilities

  1. Ensure proper integration of new Resident Personnel arrivals. Make necessary arrangements to ensure a smooth transition (inductions, accommodation, badges, work tools, IT, PPE, business cards etc.)
  2. Process all Mission Orders, flight tickets follow up and distribution for Resident Personnel
  3. Retire expense notes for Resident Personnel
  4. Executive assistance of General Manager and Deputy General Managers’
  5. Supervise, handle, sort, and dispatch incoming and outgoing correspondences
  6. Format and assigns chrono. numbers to letters and dispatch accordingly
  7. Ensure proper online archiving of documents
  8. Disseminate and ensure good diffusion of information to all Drilling & Wells personnel when required
  9. Liaise with media team when required to ensure Drilling & Wells visibility
  10. Coordinate departmental driver for maximum efficiency
  11. Organize order and storage of appropriate office supplies and maintain good records
  12. Purchases and manages Drilling & Wells secretariat refreshments
  13. Manage all requests for meeting rooms (and/or Designated Drilling & Wells Work Locations)
  14. Report maintenance issues in drilling offices, meeting rooms (and/or Designated Drilling & Wells Work Locations) to avoid property degradation
  15. Manage cleaners to ensure a clean and hazard free environment
  16. Manage security access requests / temporary pass for Drilling & Wells contractors
  17. Update Emergency Duty Call sheet (or designated BOCP room)
  18. Organize Drilling & Wells team building and send forth events. Ensure Life of Floor organization
  19. Coordinate, schedule and organize the holding of meetings, seminars, conferences when required.
  20. Cover for Rotational Personnel Admin. Assistant when required.

Job Requirements

  1. Candidates should possess a Bachelor’s Degree qualification with 3 – 6 years work experience.
  2. Job is based in Lagos, Nigeria.
  3. Performs and supervise all Logistics and Administrative assistance functions for entire Drilling & Wells Resident Personnel in Lagos
  4. Executive assistance for Drilling & Wells Division
  5. In charge of Division events and Life of Floor organization

N300,000 – N500,000 / month.
