Job Description

  1. As the Executive Assistant to the Group Managing Director (GMD), your primary role will be to provide an efficient and responsive administrative, organizational, and logistical service to the MD, assisting in managing and prioritizing their time effectively.
  2. This position plays a key role within the organization, requiring previous project support and administrative experience in a fast-paced, customer-facing environment.
  3. The successful candidate will possess excellent organizational and communication skills, be adept at multitasking, and demonstrate the ability to proactively resolve issues.

Job Responsibilities
Diary and Email Management:

  1. Manage and maintain the MD’s diary and email account.
  2. Filter, prioritize and organize inbound emails, highlighting urgent correspondence, and managing attachments.

Communication and Coordination:

  1. Respond to emails, handling appointments, and other requests.
  2. Conduct weekly diary meetings with the MD to discuss upcoming engagements, invitations, and requests.
  3. Schedule meetings on behalf of the MD with direct reports, committees, and groups.
  4. Coordinate travel and accommodation requirements for the MD.

Document Management:

  1. Keep and maintain accurate records of papers and electronic correspondence on behalf of the MD. Keep and retrieve files.
  2. Prepare and draft correspondence on behalf of the MD, including general replies.
  3. Minute general meetings as required and conduct research on behalf of the MD.

Visitor Management:

  • Ensure guests meeting with the MD are well taken care of and organized.

Project Lead:

  1. Act as the project lead in the absence of the MD.
  2. Update project costing schedules on a daily/weekly/monthly basis.
  3. Provide the MD with necessary expense and reimbursement weekly.

Additional Duties:

  1. Attend supervision, training, and meetings as required.
  2. Perform other ad-hoc tasks around the company as deemed necessary.

Job Requirements

  • Bachelor’s Degree in English or Literature
  • 2 – 4 years relevant work experience.
  • Proven Experience in Executive Assistance to Manager
  • Excellent typing skills, speed, and accuracy.
  • Good computer literacy (MS Office, Excel, PowerPoint).
  • Excellent organizational and communication skills, both verbal and written.

  1. Awareness of Health and Safety standards, along with a high understanding of Dignity and Diversity in the workplace.
  2. Common sense, etiquette, and the ability to think on one’s feet.
  3. Bright, confident personality, Well presented and highly personable.
  4. Flexible and mature approach with the ability to work unsupervised.
  5. Proven ability to work under pressure and meet tight deadlines.
  6. Willingness to travel.

N120,000 – N200,000 Monthly.
